Active Communications Ltd

This notice explains how Active Communications Ltd collects, uses and protects your personal information, including data collected when you visit our website or use our services.

Active Communications Ltd is the data controller for personal data relating to end product/service users, distributors, subscribers, enquirers and anyone who has had any point of contact with us.

We will never trade, sell or disclose personal data for commercial purposes. We will only disclose personal information as described in this notice, or where required by law.

1. How We Use Your Data

We may use your personal information for the following purposes:

  1. To improve website content using aggregated page analytics
  2. To send you our newsletter and relevant marketing communications — you can unsubscribe at any time
  3. To enable you to use our services and fulfil our contractual obligations
  4. To pass your details to a third-party supplier where necessary to enable direct delivery of components

We will retain your data for as long as necessary to fulfil these purposes, comply with legal obligations, or as described further in this notice.

2. Data Retention

We will keep personal data only as long as necessary to communicate with you for the purposes of fulfilling our contract or providing relevant information.

Where our business involves issuing warranties, we retain job data indefinitely. This may include limited personal data such as professional contact details. You are entitled to request deletion or correction of this data at any time.

We will delete all personal data we hold if you specifically request this, subject to any overriding legal obligation to retain it.

3. CCTV (Client Premises)

Where you ask us to review CCTV footage remotely, that footage will be downloaded and stored on your system only. All footage remains with you.

Where remote access is not available, our engineers will visit to view or edit footage on your system. Footage will be saved only on your server — not retained by Active Communications Ltd.

If you share any material containing personal data with us, you remain the data controller for that data and are responsible for ensuring your own GDPR compliance.

4. What Data We Collect

Active Communications Ltd may collect personal information when you use our website, contact us, or receive our services. We may collect:

  1. Your name, address, email address, telephone number(s) and other contact details
  2. Information required to provide a service, and details of services you have used
  3. Your company name, position, company address, email and telephone number
  4. Payment information such as credit or debit card details and bank account details
  5. The IP address of your CCTV cameras (where required for remote support)

We do not collect any special category data (as defined under UK GDPR Article 9).

We collect personal information directly from our customers (for example when registering for services or contacting us) and from publicly available sources such as LinkedIn, Companies House and company websites.

5. Data Storage & Security

We operate a secure server-based infrastructure and use industry-standard backup procedures, including cloud services. Your data may be temporarily held on mobile devices for communication purposes while our engineers are in transit.

6. Sub-Contractors

Active Communications Ltd occasionally uses sub-contractors to deliver services. All sub-contractors are bound by this privacy policy and are not permitted to use your data for any other purpose.

7. Remote Access

We may use remote access to support your systems. Before any remote session begins, we ask you to close any personal data visible on screen. Where we must view personal data as part of providing support, that information is treated as strictly confidential and not retained.

8. Our Website

Contact Form

If you contact us via our website contact form, we may store your details in our internal CRM system. This allows us to refer to previous enquiries and follow up if we need additional information to respond fully.
